Privacy Policy

Last Updated: May 22, 2026

1. Introduction / Overview

Schedula ("we," "us," or "our") operates an AI-powered scheduling and booking platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services.

[PLACEHOLDER: Provide a full overview of the company's data practices, scope of this policy, and which products or services it covers.]

By accessing or using Schedula, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of our services immediately.

2. Information We Collect

We may collect the following categories of personal information:

  • Identity data: first name, last name, username, or similar identifier.
  • Contact data: email address and telephone number.
  • Technical data: Internet Protocol (IP) address, browser type and version, device information, time zone setting, operating system, and platform.
  • Signature data: electronic signatures collected in connection with waivers or agreements.
  • Payment metadata: transaction identifiers and payment status provided by our payment processor (we do not store full card numbers).
  • Usage data: information about how you use our website, products, and services.

[PLACEHOLDER: Describe any additional categories of data collected, including cookies, analytics identifiers, or data collected through third-party integrations.]

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain our scheduling and booking services.
  • Process transactions and send related information, including purchase confirmations.
  • Send administrative messages, such as booking confirmations and reminders via email or SMS.
  • Respond to comments, questions, and requests and provide customer support.
  • Monitor and analyze trends, usage, and activities in connection with our services.
  • Detect, investigate, and prevent fraudulent transactions and other illegal activities.
  • Comply with applicable laws and legal obligations.

[PLACEHOLDER: Describe the legal basis for processing under applicable privacy law (e.g., legitimate interest, contractual necessity, consent).]

4. Camera & Device Permissions (Mobile App)

The Schedula Check-In mobile application ("Schedula Check-In") is an internal staff tool used by event operators to scan attendee QR codes at the event entrance. When using this app:

  • Camera: The app requests access to your device camera solely to scan QR codes printed on event tickets. The camera feed is processed entirely on-device and is never transmitted to our servers or stored.
  • Photo Library: The app does not access, read, or write to your photo library.
  • Secure Storage: Your authentication token is stored in the device's secure enclave (iOS Keychain / Android Keystore) and is never shared with third parties.

You may revoke camera access at any time via your device's Settings app. Revoking camera access will prevent QR code scanning but will not affect your account.

5. Third-Party Services

We integrate with third-party service providers to operate our platform. These providers have access to your personal information only as necessary to perform their functions and are contractually obligated not to disclose or use it for other purposes.

  • Stripe: Used to process payment transactions. Stripe may collect and store your payment method details subject to Stripe's own Privacy Policy at stripe.com/privacy. We do not store full card numbers on our servers.
  • Twilio: Used to send SMS notifications and reminders. Your phone number may be transmitted to Twilio to deliver messages on our behalf. You may opt out of SMS messages by replying STOP to any message.
  • Google Calendar: If you choose to sync your bookings, we will request access to your Google Calendar data via OAuth. This access is used solely to create and update calendar events related to your bookings. You may revoke this access at any time at myaccount.google.com/permissions.
  • Anthropic (Claude AI): We use Claude AI to power scheduling assistance features. Inputs submitted to AI features may be processed by Anthropic's API. We do not send personally identifiable information to Anthropic unless you explicitly include it in your request.

6. California Privacy Rights (CCPA)

If you are a California resident, you may have the following rights under the California Consumer Privacy Act (CCPA) and its amendments:

Right to Know

You have the right to request that we disclose the categories and specific pieces of personal information we have collected about you, the sources from which we collected it, the purposes for which we use it, and any third parties with whom we share it.

[PLACEHOLDER: Describe the process for submitting a Right to Know request and the response timeline (45 days with possible 45-day extension).]

Right to Delete

You have the right to request that we delete personal information we have collected from you, subject to certain exceptions permitted by law (e.g., information necessary to complete a transaction or comply with a legal obligation).

[PLACEHOLDER: Describe the deletion request process and any exceptions that will apply.]

Right to Opt-Out

You have the right to opt out of the sale or sharing of your personal information. Schedula does not sell personal information to third parties.

[PLACEHOLDER: Confirm whether the business sells or shares data under the CCPA definition, and describe the opt-out mechanism if applicable.]

We will not discriminate against you for exercising any of your CCPA rights. To submit a request, please contact us using the information in the Contact section below.

7. Data Retention

We retain personal information for as long as necessary to fulfill the purposes for which it was collected, including to satisfy legal, accounting, or reporting requirements.

[PLACEHOLDER: Specify retention periods by data category (e.g., booking records retained for X years after the event, payment records for Y years to comply with tax law, electronic signatures for Z years).]

When we no longer need personal information, we will securely delete or anonymize it in accordance with our data retention schedule.
